PMWEB Platform 6 Questions

PMWEB is built specifically for owners of buildings and infrastructure — not for general project management. Where tools like Microsoft Project or generic PMIS platforms are designed around task and schedule management, PMWEB is built around the full capital works lifecycle: Plan, Build, and Operate.

This means PMWEB includes native cost control (budgets, contracts, change orders, forecasting), document management, workflow and approval routing, asset management, and lease management — all in a single configurable platform. There is no need to integrate separate cost, contract, and document management tools.

PMWEB is also designed for the owner's perspective — the organisation commissioning the capital work — rather than the contractor or project manager delivering it. This distinction is important for government agencies, health authorities, universities, and infrastructure bodies whose primary need is program visibility and budget governance, not construction scheduling.

The current version is PMWEB 8.0, which introduced enhanced AI-assisted forecasting, improved dashboard capabilities, and new mobile features for field teams. HKA Tech provides full upgrade support for all APAC clients moving from any prior version.

For clients on managed SaaS or hosted environments, upgrades are coordinated by HKA Tech as part of the service arrangement. For on-premise deployments, upgrades are planned as a project with defined scope, testing, and sign-off phases. Yes. PMWEB is a true zero-footprint application — it runs from any modern browser on iPad, iPhone, Android tablet, or smartphone with no app installation required. Field teams can submit forms, update workflows, and access project documents directly from site without any specialist software.

The responsive interface adapts to screen size. Administrative and configuration functions are best performed on desktop, but core project management, workflow approvals, and document access are fully functional on mobile devices.

Plan: Planning, estimating, and procurement — including scope definition, program budget setup, WBS development, stage gates, vendor evaluation, and procurement workflows.

Build: Cost controls, contract management, program and project management, document and data control, workflow, scheduling, and mobile field access. This is the most feature-intensive phase and the area where most organisations initially deploy PMWEB.

Operate: Asset management (tracking, maintenance, work requests, work orders), lease management (cost and revenue leases, suite linking, charge calculations), and ongoing facility management. Operate functions connect directly to the Build phase data, providing continuity from construction to operations.

PMWEB includes a drag-and-drop workflow builder that allows organisations to define document routing, approval chains, and stage gates without custom development. Workflows can be configured at the organisation, program, or project level, and can include conditional branching (e.g. route to a different approver if a change order exceeds a threshold).

Workflow applies across all PMWEB documents — cost documents, RFIs, submittals, change orders, invoices, and more. Each step records the approver, timestamp, and any comments, creating a full audit trail. Delegation and automatic escalation rules can be configured to handle absent approvers without disrupting the process.

PMWEB connects to a wide range of enterprise systems through its API, SSIS connectors, and modern middleware. Common integrations in the APAC market include finance and ERP platforms (SAP, Oracle, TechnologyOne, Microsoft Dynamics), document and drawing tools (Bluebeam, SharePoint), BIM authoring environments, GIS systems, and HR platforms.

HKA Tech is a certified Bluebeam integration partner and AWS SaaS delivery partner, with established integration frameworks for the most common enterprise systems used by government and infrastructure organisations in Australia. Implementation 5 Questions

Implementation timelines vary significantly based on the scope of configuration, the complexity of existing data to be migrated, the number of integrations required, and the size of the organisation. As a general guide, a standard Build-phase implementation for a single organisation ranges from three to six months. Multi-agency or enterprise-wide deployments covering Plan, Build, and Operate functions across multiple programs typically range from six to eighteen months.

HKA Tech also offers Quick Start Packages for organisations that want an accelerated path to a productive PMWEB environment — typically eight to twelve weeks to a configured, live system with core functionality operational.

Yes. Data migration is a formal, structured phase in every HKA Tech implementation. We have migrated data from spreadsheet environments, Oracle Primavera, Microsoft Project, TechnologyOne, and a range of other PMIS and ERP systems into PMWEB across our APAC deployments.

Migration begins with a data audit to assess the quality and structure of existing data, followed by mapping to PMWEB's data model. Cleansing and validation are completed before import, with client sign-off at each stage. For complex migrations, we run parallel systems during a transition period to ensure data integrity before decommissioning the legacy system.

Data migration is also available as a standalone engagement for organisations that have already deployed PMWEB but need historical data consolidated into the platform.

HKA Tech delivers training as part of every implementation engagement, tailored to the roles within your organisation — project managers, cost controllers, contract administrators, finance teams, and system administrators each receive role-specific training relevant to their actual daily workflows in the configured system.

Training can be delivered in-person at client offices, remotely, or as a blended approach. For large-scale rollouts, we also deploy WalkMe in-application guidance through our Digital Adoption (DAP) service — providing on-screen walkthroughs that support users at the point of need, reducing reliance on formal training sessions after go-live.

HKA Tech provides structured post-implementation support through a dedicated APAC support team. Support arrangements are defined at the outset of each engagement and typically include a helpdesk for user and technical queries, configuration support for changes and enhancements, and a named account manager for escalation and strategic advice.

Support services are available at varying levels of intensity — from lightweight periodic check-ins for mature deployments to high-engagement arrangements for organisations expanding their PMWEB use or undertaking version upgrades.

For clients seeking a more formalised advisory relationship, our Capital Works Advisory service provides access to experienced practitioners who can assist with program delivery challenges beyond system support.

A Quick Start Package is an accelerated implementation pathway that deploys a configured, operational PMWEB environment in eight to twelve weeks. It is appropriate for organisations that need a productive system rapidly — for example, at the start of a capital program — or for teams that have a clear, bounded scope rather than enterprise-wide requirements.

Quick Start Packages use a pre-tested configuration baseline that incorporates best-practice settings for capital works organisations, reducing the analysis and design time required in a standard implementation. They are available for the Build phase, with optional extensions for Plan and Operate functions once the core system is established.

Quick Start is a separate offering from the PMO Toolkit — it is a system implementation approach, not a governance or advisory framework. For organisations that need both, they can be combined. Contact us to discuss whether a Quick Start approach suits your situation.

Hosting & SaaS 4 Questions

HKA Tech is an Amazon Web Services SaaS Delivery Partner and the primary recommended deployment model is AWS SaaS, with data hosted in Australian AWS data centres (Sydney and Melbourne regions). SaaS is appropriate for the majority of APAC clients and provides managed infrastructure, automatic backups, patching, and version management as part of the service.

Two additional options are also available: managed hosting, where HKA Tech manages a dedicated environment on your behalf on nominated infrastructure; and on-premise deployment, where PMWEB is installed on your own infrastructure and managed by your internal team with HKA Tech support. On-premise is less common and is typically only appropriate where specific data sovereignty or security requirements prevent cloud deployment.

For most government and infrastructure clients, the AWS SaaS model fully addresses data sovereignty requirements through the Australian data centre regions. For agencies with specific legislative obligations, HKA Tech can provide a technical assessment. See the Hosting & SaaS page for full details.

For SaaS deployments, all client data is stored in AWS data centres located in Australia (Sydney and Melbourne availability zones). No data is routed through or stored in offshore regions unless explicitly requested and agreed.

HKA Tech is an ISO 27001 certified organisation, which means our information security management practices are independently audited against the international standard for information security. Security documentation, data processing agreements, and privacy policy information are available on request and as part of the procurement process for government clients.

Individual access controls, user permissions, and audit logging within PMWEB are configured as part of the implementation to align with your organisation's security policy.

SaaS service level agreements covering uptime, backup frequency, recovery point objectives (RPO), and recovery time objectives (RTO) are specified in the individual service agreement for each client. Standard SaaS arrangements include daily automated backups with a minimum 30-day retention period and a defined restoration process.

Planned maintenance windows are communicated in advance and are scheduled to minimise impact during standard APAC business hours. Incident response procedures and escalation paths are defined in the service agreement.

Yes. HKA Tech holds accreditations on a number of government procurement panels across Australia, including Local Government Procurement (LGP), QAssure (Queensland), Victorian eServices Register, and SA eProjects Plus (South Australia). These panels enable eligible government agencies to procure PMWEB implementation and related services directly through the panel arrangement without a separate open tender process.

Business Intelligence & DAP 4 Questions

PMWEB includes native dashboards and reporting that give project-level and portfolio-level visibility within the platform. HKA Tech's Business Intelligence service extends this by building custom analytical dashboards that can aggregate data from PMWEB and other enterprise systems — finance, ERP, asset management, and more — into a unified reporting layer.

This is a separate service from HKA Tech, independent of PMWEB licensing. Organisations that use other PMIS platforms alongside PMWEB, or that need executive dashboards drawing on multiple data sources, benefit from BI as a standalone engagement. The BI service also applies AI-enhanced capabilities to surface anomalies, generate narrative summaries, and automate periodic reporting that would otherwise require manual preparation.

A Digital Adoption Platform overlays on-screen guidance — walkthroughs, tooltips, task lists, and help panels — directly within a software application, guiding users through processes at the point of need without leaving the system. WalkMe is the primary DAP tool HKA Tech deploys.

For PMWEB, WalkMe walkthroughs can be configured for specific workflows — for example, guiding a cost controller through their first change order submission, or walking a new project manager through the budget setup process. This significantly reduces the volume of helpdesk queries after go-live and accelerates user proficiency, particularly for large rollouts where one-to-one training is not scalable.

HKA Tech's DAP service also extends beyond PMWEB — WalkMe can be deployed on any web-based enterprise application, making it applicable to finance systems, document management tools, and other platforms in use across your organisation. See the DAP page for more information.

HKA Tech applies AI capabilities across all three of its technology service lines, with a focus on practical, substantiated outcomes rather than speculative use cases.

In PMWEB, AI-assisted cost forecasting and schedule risk analysis surfaces within PMWEB 8.0's portfolio workflows, helping project controls teams identify emerging budget variances earlier. In Business Intelligence, AI-enhanced dashboards detect anomalies in cost and schedule data and generate automated narrative summaries for executive reporting. In Digital Adoption, AI-driven WalkMe guidance personalises in-application walkthroughs based on user behaviour and proficiency, adapting the level of guidance as users become more confident.

Yes. As part of the Digital Adoption service, HKA Tech deploys UserWay for WCAG (Web Content Accessibility Guidelines) compliance on web-based enterprise applications. UserWay adds an accessibility widget that allows end users to adjust font sizes, colour contrast, navigation modes, and other accessibility settings to meet their individual requirements.

For government agencies with mandatory accessibility obligations, UserWay can be applied to the PMWEB interface and other enterprise tools as part of an accessibility compliance program. This is an independent engagement from WalkMe and can be scoped separately.
